This article provides the steps for reducing the license count of a customer’s Microsoft subscription. The changes that can be made are subject to Microsoft’s cancellation policy, which is detailed in the following Microsoft Learn article.

Subscriptions Within the 7-Day Cancellation Window


  1. Start by clicking the Companies tab on the left-hand navigation.

  2. On the Companies page, click on the name of the desired company to open it.

  3. Click on the company’s Services tab.

  4. Locate the desired subscription and click the three dots on the right-hand side of its row. From the dropdown, select View Service.

  5. Under the Order Details section, determine whether the subscription is within the 7-day cancellation window.
    • If the Order Important Information section lists an eligible quantity for reduction with a date as shown in the example below, proceed to Step 6 in this section.
    • If the Important Order Information section does NOT list an eligible quantity for reduction, proceed to the “For Subscriptions Outside of the 7-Day Cancellation Windowsection of this article.

  6. If the subscription is within the 7-day cancellation window, click on the pencil icon in the top-right corner of the Order Details section to edit the subscription.

  7. Change the number in the Quantity field to your desired license count.

  8. Click the green check mark in the top-right corner of the Order Details section to save your changes.

Subscriptions Outside of the 7-Day Cancellation Window

For New Commerce Experience subscriptions, cancellation or reduction is only allowed within 7 days of subscription purchase or renewal. Subscriptions that are outside of the 7-day cancellation window can be scheduled to reduce in license count once their term is completed.

  1. Start by clicking the Companies tab on the left-hand navigation.

  5. Scroll down to the Duration & Renewal section.

  6. In the top-right corner of the Duration & Renewal section, click on the pencil icon.



  7. In the bottom-right corner of the Duration & Renewal section, click the Configure button.



  8. Change the number in the Quantity field to your desired license count.

  9. Click the green check mark in the top-right corner of the Duration & Renewal section to submit. All scheduled changes will take effect when the subscription renews.
